Picture an accounts officer in Lahore who has finally found a car she can afford. The dealer wants a salary slip for the financing application, so she sends a message to HR. Two days later she receives a photo of a handwritten page with a company stamp on it. The bank rejects it within minutes, because the figures don’t match her bank statement, the deductions are lumped into a single line, and nothing on the page says which month it covers. Her application stalls, HR is embarrassed, and a routine request has turned into a small crisis. Situations like this play out in Pakistani offices every week, and they point to something many employers overlook. The salary slip is the one document that proves what an employee earned, what was taken out and why, and what actually reached their account. Banks ask for it. Embassies ask for it. Landlords, credit card companies and social auditors ask for it too. Inside the company, it settles arguments about overtime, short payments and unexplained deductions before they grow into complaints. Yet plenty of businesses still treat the salary slip format Pakistan employers rely on as an afterthought, built from an old Excel template that nobody has updated since the last tax change. This guide covers what the law says about payslip requirements Pakistan wide, which fields a proper slip should carry, the mistakes that cause the most trouble, and how to produce a clean, consistent slip for every employee without hours of manual formatting each month. If you handle payroll for even fifty people, the next few minutes of reading will likely save you a few awkward phone calls.

Is a salary slip legally required?

Wage payment in Pakistan is governed at the provincial level. The Payment of Wages Act 1936 applies in Punjab and Islamabad, while Sindh (2015), Khyber Pakhtunkhwa (2013) and Balochistan (2021) each have their own Acts. Sindh’s law expressly requires employers to give workers a payslip showing the details of their remuneration. The wages laws of the other provinces are less explicit about the slip itself.

That doesn’t mean employers elsewhere can skip it. Labour inspectors expect wage records, buyers’ social audits check them, and a worker who disputes a payment will ask for the slip first. A few related rules are worth keeping in mind. Wages are generally due within seven days of the end of the wage period for establishments with fewer than 1,000 workers, and within ten days for larger ones. A wage period cannot exceed one month. Deductions are limited to those the law authorises. Your legal adviser can confirm the exact position for your province and sector, but the safe practice is simple: issue a complete slip every month to every employee.

What a proper slip should show

A slip that satisfies a bank, an auditor and the employee themselves carries the following.

SectionWhat to include
Employer detailsRegistered company name and address
Employee detailsName, employee ID, designation, department, joining date
Pay periodMonth covered, days worked, date of payment
EarningsBasic salary, house rent, utilities, conveyance, medical, overtime (hours and amount), bonuses, arrears
DeductionsIncome tax, EOBI, provincial social security, provident fund, loan or advance recovery, absence deductions, each on its own line
TotalsGross pay, total deductions, net pay
Payment detailsMode of payment and bank, with the account number masked

Optional additions such as leave balances and year-to-date figures are appreciated by employees and cost nothing once the system generates them.

The mistakes that cause the most trouble

Lumped components. Showing “allowances: Rs 45,000” as one figure makes it impossible to check overtime, gratuity or tax calculations. List each component separately.

Overtime without detail. If a slip shows an overtime amount but not the hours or the rate, the first complaint is only a matter of time. Our guide to overtime and shift allowances in Pakistani manufacturing explains how the double rate should be applied and why the hours need to be visible.

Deductions with no explanation. Tax, EOBI, advance recovery and absence deductions should each appear as named lines. An unexplained “other deductions” entry is the fastest way to create a grievance. The deductions themselves are covered in our EOBI compliance guide.

Mismatch with the bank transfer. When the net pay on the slip differs from what the bank credited, the slip loses credibility, and so does everything else HR produces. Reconcile before you release.

No pay period. A slip that doesn’t state the month and the number of days worked is useless for a loan application.

Handwritten or inconsistent formats. Slips that change layout from month to month, or that are typed up by hand, make auditors suspicious. A single standard template removes the doubt.

Careless sharing. Sending slips as unprotected files in a WhatsApp group exposes salaries and personal details to everyone in it. Slips should reach only the person they belong to.

When employees actually need the slip

Most requests land in the same handful of places: bank and car financing applications, credit cards, visa applications for the UK, Schengen countries or the Gulf, rental agreements, and sometimes a new employer’s background check. In each case the recipient is looking for consistency. The company name, the figures, the dates and the bank credits should all tell the same story. Employees who can download a clean slip in two minutes remember how easy it was. Employees who wait three days for a screenshot remember that too.

Doing it without the monthly scramble

Preparing slips by hand means copying figures from a payroll sheet into a template for every employee, checking each one, converting to PDF and distributing. For 200 people that is a full working day with plenty of chances for a wrong figure. When slips are generated from the payroll run itself, the figures can’t drift apart, because the slip and the salary are produced from the same record.

Radiant Workforce’s payroll management module generates slips for the whole workforce in one action, with every earning and deduction on its own line. Through the self-service portal, employees download current and past slips themselves, so HR stops fielding requests for copies. The employee management records behind it keep designations, joining dates and bank details consistent from month to month.

The bottom line

A salary slip takes a few seconds to read and carries a lot of weight. It protects the employee who needs proof of income, and it protects the employer who needs proof of what was paid and why. Get the fields right, keep one standard template, reconcile against the bank transfer, and share it privately. Do that every month and most of the disputes, rejected applications and audit questions around pay simply stop arriving. If your slips are still built by hand, it’s worth seeing how Radiant Workforce can generate them directly from your payroll so each one is accurate before it leaves HR.

FAQ’s

Is a salary slip mandatory in Pakistan?
Sindh’s Payment of Wages Act 2015 expressly requires payslips. Other provinces are less explicit in their wages laws, but wage records are expected by inspectors, auditors and banks, so every employer should issue one monthly.

What details must a salary slip contain?
At minimum: employer and employee details, the pay period, each earning and deduction on a separate line, gross pay, total deductions, net pay and the payment method.

How many months of salary slips do banks usually ask for?
It varies by bank and product, but three to six months is typical for loans and car financing. Keeping at least twelve months available to employees avoids last-minute requests.

Can an employer deduct anything from an employee’s salary?
Only deductions authorised by law, such as income tax and statutory contributions, or those the employee has agreed to in writing, such as a loan recovery. Every deduction should appear as its own line on the slip.

Can salary slips be issued digitally?
Yes, and most employers now do. System-generated slips are consistent and easy to retrieve. Some banks and embassies also ask for a stamped copy, so keep a way for employees to request one.
